II.         Major Objective of the Position:

  • Performs administrative and office support activities for the Client Services and Sales, Departments. Responsibilities may include word processing, calendar management, filing, faxing and scanning.  Must ensure phone calls, voicemail and email are prioritized and receive timely follow-up,  
  • Assists Client Services Manager, Account Coordinators, and Sales Director in servicing clients/broker accounts and relationship development,
  • Serves as liaison between customer service, clients, members, and stop loss vendors,
  • Prepares, weekly, monthly, quarterly reports and uploads to the web portal,
  • Coordinates Check Tracer requests,
  • Supports and monitors Issue Trackers for Client Services team 

III.        Duties and Responsibilities:

  • May at times manage and maintain schedules, appointments and travel arrangements of those traveling on Sales or Account Management activities,
  • Arrange and coordinate meetings and events,
  • Record, transcribe, and distribute minutes of meetings when requested,
  • Manage and maintain conference room calendars and update SharePoint with Sales schedule,
  • Open, sort, and distribute incoming correspondence, including mail, faxes and email,
  • File, scan, retrieve and purge documents, records, and reports,
  • Prepare and edit correspondence, reports, memos/letters, presentations and other documents,
  • Answer and manage incoming calls and voicemail,
  • Office organization including filing and scanning,
  • Assist in RFP’s and new client sales,
  • Resolves problems and answers questions from claims, eligibility and customer service personnel,
  • Maintains client reports and furnishes quarterly and monthly reporting,
  • Communicates with stop loss carriers, files and tracks stop loss claims,
  • Communicates large claims information to the clients,
  • Delivers check registers to clients, receives approval to release, when requested,
  • Participate in client conference calls & new client implementations,
  • Initiate Check Tracers and follow up until resolved,
  • Submit expense reports for Client Services and Sales staff,
  • Assist in claims research and issue tracking.           

IV.        Additional Tasks:

  • Audit documentation,
  • Project list updates,
  • Performs any other reasonable duties as directed by management,
  • Assists all third party clients with any issues or questions they have,
  • Performs any other reasonable duties as directed by management,
  • Send out monthly invoices to clients and track late notices when applicable,
  • Maintains other weekly reports by client request,

V.         Decision Making Authority:

  • Authorized to make benefit determinations according to individual plan documents and procedures,
  • Has access to customer service module and claims system.
  • Additional duties as requested. 

VI.        Relates with others:

Inside office: All internal staff

Outside office: Clients, stop loss carriers, brokers, participants, providers & medical management staff, and outside vendors.

VII.       Requirements for the Position:

  • Handle high levels of stress satisfactorily and be congenial with customers, clients, and employees at all times
  • Attention to detail and ability to produce quality and accurate output
  • Communication and Organizational skills
  • Consistent attendance and timely arrival is important to success of this position
  • Must participate in HIPAA, DOL and TPA standards training
  • Occasional travel.

VIII.      Knowledge and skill needed:

  • Familiar with Excel, Word, Power Point, and Shasta Website
  • Ability to multi task, have quality and accurate output
  • Good decision making skills
  • Knowledge of benefit plans and SPDs
  • Positive attitude and a friendly demeanor
  • Excellent verbal communication skills
  • Highly organized and ability to multi-task / priorities tasks

IX.        Education and Training:

  • High School Diploma or Equivalent required, Associate Degree preferred
  • Insurance or Benefits knowledge preferred
  • Work Arrangements: This position is not eligible for remote work and is located at Shasta Administrative Services in Redmond, Oregon

Reports to: Operations Manager and Claims Supervisor or whoever is indicated
